Clinics & practices

Make room for better scheduling decisions.

Bring approved administrative summaries into a useful view of practice capacity. The GuildHall Partnership helps dental practices and independent clinics improve reporting routines, pull reports when needed and work through the business decisions behind the numbers.

Comparing booked and available chair time

Illustrative scenario, not a client result

A dental practice owner is considering a change to an administrative scheduling block. The team already produces weekly chair-capacity totals, but different reports treat blocked time differently. The first task is to make the weeks comparable using approved aggregate administrative data that contains no protected health information.

Bring the records together.

  • Approved weekly totals of available chair hours
  • Approved weekly totals of booked chair hours
  • Summary definitions for blocks and reporting periods

Improve the working process.

Create one weekly summary template that treats closed hours, lunch and administrative blocks consistently. Check the definitions with the practice manager using approved totals. Assign an owner and a weekly cutoff for supplying the summary so reports use the same basis each time.

Put the report to use.

GuildHall develops a capacity report or custom dashboard your team can open when needed. We help distinguish changes in available hours from changes in booked time, then work with you to choose a scheduling adjustment to test. Ongoing reviews compare later periods using the same definitions and account for holidays or staffing changes.

A report to use.
A partner to work with.

Keep the capacity report available to the team. We help compare later periods and account for changes in staffing, holidays and available time.

As the foundation settles, we focus on ongoing analytics: refining views, investigating trends and reviewing the results of agreed changes.

Explore the Partnership

Current engagements exclude protected health information (PHI); ordinary permission or a Sales Order does not change that. Use only approved aggregate administrative data that does not expose PHI. Do not send patient records or grant access exposing PHI. Larger implementations require defined responsibilities with your team or provider.

Talk about a first step

Your ongoing Partnership

Continue from the foundation we’ve started, with $250 credited toward your first monthly payment.

From $500/month. Scope and capacity are agreed in your proposal. You can also start monthly from the outset.

See how monthly support works

The Trial is the first step into the same Partnership. Moving to monthly support is a decision we make together.

A few practical details.

Does this example require patient-system access?

No. The practice supplies approved aggregate administrative summaries within the permitted scope. Calling a report a summary does not make it suitable automatically; its contents and handling must meet the agreed boundary.

Can we examine production and collections?

We can assess whether suitable administrative summaries support that question. Production and cash received measure different events, so the view must distinguish timing and adjustments. The same PHI exclusion applies.

How does the Trial fit into the Partnership?

It is a first step into the same work: one focused engagement for $500, without a monthly commitment. If you continue with monthly support, $250 is credited toward your first payment. You can also start monthly from the outset.
