1. Introduction

GuildHall Compact LLC (“GuildHall,” “we,” “our,” or “us”) is a Missouri limited liability company that helps small businesses connect their information, improve operations and use business intelligence to make decisions. This policy explains how we handle information from visitors to ghforge.com and people who contact us. It also describes the engagement-related processing and retention identified below.

Paid services are governed by your signed Master Services Agreement (MSA) and Sales Order. This policy does not replace those documents. Engagement confidentiality is addressed in section 9 of the MSA; the signed documents control the engagement as explained in section 1 of our Terms. Sections 4 and 5 below address third-party processing and retention, including AI services used during engagements.

2. Information We Collect

We collect only what we need. Here is what that means in practice:

Booking information (via Cal.com)

When you schedule a discovery call through the booking form embedded on our Contact page, Cal.com collects your name, email address, the meeting time you select, any guests you add and any optional notes you choose to include. If you include other information in your notes, we receive that information too. Booking information comes to GuildHall through Cal.com, which processes attendee booking data on our behalf. Cal.com also processes technical information when its service loads or is used, as described in sections 4 and 7.

Hosting and technical request data (via Cloudflare Pages)

This site is hosted on Cloudflare Pages. Cloudflare processes technical request data to deliver and protect the website. This can include IP addresses, requested pages, traffic-routing information and other information about requests to the site. We also use Cloudflare Web Analytics, which collects traffic and performance measurements through a script in your browser. Section 7 describes this analytics service separately from advertising measurement.

Direct email

If you email kyle@ghforge.com or chris@ghforge.com, we receive and store that correspondence. Email to Kyle’s address goes to Kyle Haworth; email to Chris’s address goes to Chris. Our email and administrative service providers are identified in section 4.

Client engagement data

Engagement information may include workflow documents, standard operating procedures, pricing sheets, reports and other operational material within the agreed scope. You retain ownership of your information. Customer source data remains in customer-controlled storage; GuildHall does not house it or retain it as an ongoing store of your operational data. GuildHall may access information as authorized for the agreed work. Access and processing through third-party tools are separate from where you store the source data.

For the AI working environment used in your engagement, you choose OpenAI or Anthropic as the primary vendor and use your own account. Before granting access or providing information, agree with us on the permitted data and handling, including any AI use. Section 4 addresses third-party services, section 5 distinguishes administrative records and any incidental copies, and section 8 of our Terms explains excluded information and AI-submission restrictions.

3. How We Use Your Information

We use the information we collect for these purposes:

  • To respond to your inquiry and schedule a discovery call
  • To deliver the services you engage us for
  • To administer agreements, invoices and payments
  • To maintain and troubleshoot this website
  • To comply with legal obligations if required

We do not use your name, email address, phone number or correspondence for email marketing, advertising, retargeting or automated profiling. We do not sell your data. Our use of third-party services is described in section 4. We also configure advertising measurement for completed discovery-call bookings as described in section 7. Booking-form contents are not included in the conversion events we send to advertising providers. Advertising services can separately process technical information about your browser and visit.

GuildHall does not use client information to build, train, fine-tune or improve AI models. The handling of information by your selected AI provider depends on your product, settings and account terms, as described below.

4. Service Providers and Advertising Services

The following services support website functionality, communications, business administration, advertising measurement or client engagements. Their roles and the information involved differ. A provider used through a client-owned account is distinct from a service GuildHall engages to operate its own business.

  • Cal.com: provides the booking calendar embedded on our Contact page and processes attendee booking data on our behalf. Its service also processes technical information to operate the calendar. Cal.com describes its booking-data role and its separate handling of account and website information in its privacy policy.
  • Cloudflare Pages and Web Analytics: Cloudflare hosts ghforge.com, processes technical requests for delivery and security, and provides website traffic and performance measurements. See its privacy policy and the Web Analytics description in section 7.
  • Google Ads: the website is configured to send a conversion event for a completed discovery-call booking to help measure advertising effectiveness. This configuration does not establish that every booking is recorded or attributed. Google processes advertising data under its privacy policy and describes advertising cookies and other technologies in its advertising information.
  • Microsoft Advertising: tracking is currently disabled on this site. It is not currently used to send advertising conversion events. Microsoft’s handling of information when its services are used is described in its privacy statement.
  • Google — company email and file storage: Google processes the correspondence and administrative documents GuildHall keeps in these services, including inquiry messages and engagement business records. This is separate from your customer-controlled operational systems. See Google's privacy policy and the terms applicable to the services used.
  • Mercury — invoicing and payments: Mercury processes billing contacts, invoice details, transaction records and payment information needed to provide these services. Mercury and its banking or payment partners may process information under their applicable terms and legal obligations. See Mercury's privacy policy. Provide payment details through the payment service, not through our website's booking notes or inquiry email.
  • OpenAI or Anthropic, through your account: you choose the primary AI vendor for your engagement’s working environment and own that account. As part of authorized analysis, drafting, configuration or automation work, the selected service may receive prompts and other information you authorize it to process. Provider use must fit the agreed scope, data exclusions and any written restrictions you give us. OpenAI describes its services in its privacy policy, and Anthropic in its privacy policy. Product-specific terms and any agreements applicable to your account also govern that provider’s processing.

GuildHall does not train AI models on client information or maintain an ongoing store of customer source data. Those commitments do not determine a provider’s processing. Whether a provider may use submitted content for model improvement, how long it retains content or logs, where it processes information and which contractual safeguards apply depend on the selected product, settings and account terms. Before we use the working environment for your information, we agree the permitted data, purpose and handling. We do not make a blanket promise of zero provider retention, no provider training, a particular data-processing agreement or US-only processing. You may restrict further AI submissions as explained in section 8 of our Terms.

We describe third-party processing in this policy and, for paid work, the applicable engagement documents. We may also disclose information when required by law, court order or regulatory authority. Contact us using section 10 if you need to clarify the services involved before providing information.

5. Data Retention

Our retention periods distinguish inquiries, business records and client-provided operational material:

  • Booking inquiries that do not become engagements: we retain booking information for 12 months from the scheduled call, then delete it.
  • Inquiry email where no engagement begins: we retain those email threads for 24 months, then delete them.
  • Paid-engagement business records: we retain signed agreements, invoices and payment records for seven years after the engagement ends, then delete them unless a legal hold applies. This is our business-record retention policy; it does not require keeping all client material for seven years.
  • Customer source data: customer source data remains in customer-controlled storage; GuildHall does not house it or retain it as an ongoing operational data store. We will coordinate ending GuildHall’s authorized access when the engagement ends, in accordance with the signed engagement documents. If client-provided source material is incidentally in GuildHall’s possession, we will return or make it available within 15 days after the engagement ends and delete GuildHall’s copies within 60 days, unless retention is required by law or to resolve a pending dispute. The seven-year business-record period is not a blanket exception for client source material.

These periods concern GuildHall’s records and any incidental copies, subject to the signed engagement documents. Third-party services have their own retention arrangements, including those applicable to your client-owned AI account. Deletion of a GuildHall-held copy does not itself delete information already processed or retained by a provider. Contact us if you need help understanding which records or services a request concerns.

6. Your Rights

Regardless of where you live, we extend the following rights to everyone who contacts us or uses this site:

  • Right to access: you can ask us what information we hold about you.
  • Right to correct: you can ask us to correct inaccurate information.
  • Right to delete: you can ask us to delete your information, subject to any legal retention obligations.
  • Choices about processing: you can ask which services receive your information. For paid work, you may direct us not to submit specified information, or any engagement information, to AI tools as described in section 8 of our Terms. Section 7 explains the advertising controls described on this site.

To exercise any of these rights, email kyle@ghforge.com with the subject line “Privacy Request.” We will respond within 30 days.

If you are located in the European Union or United Kingdom, you may also have rights under the GDPR or UK GDPR, including the right to lodge a complaint with your local supervisory authority. We are a small US-based business not specifically targeting EU or UK residents, but we will handle any request from EU or UK individuals with the same care described above. These practical choices do not limit any rights you have under applicable law.

7. Cookies and Tracking

GuildHall does not use device fingerprinting, and we do not sell your personal information or share it with data brokers. The website’s hosting, booking and advertising services involve the processing described below.

Hosting and traffic information

Cloudflare processes technical requests to deliver and protect this website, as described in section 2. Cloudflare Web Analytics also uses a JavaScript beacon to measure website traffic and performance, including page views, loading times, referring pages, browser and device information, and country. We use these reports to understand website use and identify performance problems. This is separate from advertising conversion measurement. See Cloudflare’s Web Analytics documentation and privacy policy.

Advertising conversion tracking

The website is configured to use Google Ads conversion tracking for completed discovery-call bookings. Google advertising technology can use cookies and recognize a browser across sites in its advertising network.

We use the booking conversion event to help measure whether advertising leads to a scheduled call. The conversion event does not include the name, email address, phone number or message entered into the booking form. We do not use this measurement to build retargeting audiences. A configured event is not a guarantee that a particular booking will be recorded or attributed. Google may separately receive technical information such as IP address, browser information and cookie identifiers through its advertising technology.

Microsoft Advertising tracking is currently disabled. Email-link conversion events are not currently configured to send conversions to an advertising destination. If we enable additional measurement, we will update this policy to describe the resulting processing and choices.

You can manage ad personalization through Google My Ad Center and Microsoft ad settings. Turning off personalized ads does not necessarily stop conversion measurement. Browser cookie controls and tracker-blocking tools may limit advertising tracking. Their effect depends on the browser, settings and service; using them does not restrict access to this website.

Embedded booking calendar

The calendar embedded on our Contact page is provided by Cal.com. Loading or using it connects your browser to Cal.com, which may process technical information and use cookies or similar technologies to operate its service. Cal.com’s policy describes cookies for session functions, preferences and security and distinguishes its booking application from its marketing website. See Cal.com’s privacy policy for its processing and choices. Booking information you submit is also received by GuildHall as described in section 2.

8. Children’s Privacy

This website is intended for business owners and operators. It is not directed at anyone under 18 years of age. We do not knowingly collect personal information from minors. If you believe a minor has submitted information through this site, contact us at kyle@ghforge.com and we will delete it promptly.

9. Changes to This Policy

We may update this policy from time to time. When we do, we will update the effective date at the top of this page. For material changes, we will send a direct email notice to active client contacts. This policy describes our information practices. Updates to it do not amend a signed engagement agreement; changes to that agreement require the written agreement described in our Terms.
